Cancellation due to unforeseen circumstances

In case of cancellation for specific medical reasons, including COVID-19 (subject to providing a medical certificate or a positive result from a COVID-19 PCR test from a healthcare facility), or in the event of the death of a close relative or a member of your travel group, we will refund the entire package, except for administrative fees of $50 per person.

Guided snowmobile packages for one day or less

Payment Policy:

Full online payment is required to confirm the reservation.

Cancellation

  • 7 days and more before departure: 25% of the total amount retained.
  • Between 7 days and 48 hours before departure: 50% of the total amount retained.
  • Between 48 hours and 24 hours before departure: 75% of the total amount retained.
  • In case of cancellation within 24 hours or no-show at departure: No refund.
  • In case of cancellation by Équinox Aventure due to weather conditions, the activity will be rescheduled for a later date, or we will refund the entire package.

Snowmobile rental

Payment Policy:

Full online payment is required to confirm the reservation.

Modification

  • 4.1.1 - Modification is possible with adjustment of the rate accordingly (for example: extension of the duration); notify as soon as possible.

Cancellation

  • 7 days or more before the rental: 20% of the total amount retained.
  • 7 days or less before the rental: No refund.
  • In case of cancellation by Équinox Aventure due to weather conditions, the rental will be rescheduled for a later date, or we will refund the entire rental.

Winter Activities and Multi-activity self-guided tour

Cancellation

  • 7 days or more before departure: 15% of the total amount retained.
  • Between 7 days and 72 hours before departure: 50% of the total amount retained.
  • Between 72 hours and 24 hours before departure: 75% of the total amount retained.
  • 24 hours or less before departure: No refund.
  • No-show: No refund.
  • During the stay: In case of accident, death, or other justifiable reasons, refund for unused nights of the stay according to accommodation conditions, except for the first night.
  • In case of cancellation by Équinox Aventure due to weather conditions, the activity or package will be rescheduled for a later date, or we will refund the entire activity or package.

Winter Glamping at Auberge des Îles

Payment Policy:

Reservations are made through the Auberge des Îles website, with full online payment required for confirmation.

A non-refundable deposit of 50% is required at the time of booking.

The offer is valid from January 2nd to March 31st, 2024.

Turnkey Biking packages

Payment Policy:

Full payment required 60 days before departure to confirm the reservation.

Fees apply for accommodation or number of people modifications.

Modification

  • 7 days or more before the departure of the package:
    • During the low season: No fees.
    • During the high season: $20 fees will be applied per modification after the 3rd modification (From Quebec National Day to Labor Day).
  • From 7 days to 24 hours before departure: $30 fee per modification per person.
  • 24 hours or less before departure: Variable fees depending on availability.

Cancellation

  • 7 days or more before departure: 15% of the total amount retained.
  • Between 7 days and 72 hours before departure: 50% of the total amount retained.
  • Between 72 hours and 24 hours before departure: 75% of the total amount retained.
  • No-show: No refund.
  • During the stay: In case of accident, death, or other justifiable reasons, refund for unused nights of the stay according to accommodation conditions, except for the first night.

Group Travel (8 people and more)

  • To confirm a group reservation, a deposit equivalent to 20% of the total amount is required. This non-refundable deposit must be paid in full by the group leader. The group leader is responsible for collecting individual contributions from group members and transferring the total deposit amount to us, thereby streamlining the payment process for the entire group.
  • Group pricing is applicable for 8 or more people. It may be modified in case of cancellations, especially if the number of participants is no longer sufficient to maintain the group rate. Please contact us for details on group rates.
  • In case of a participant's cancellation, the reservation is transferable to another person who would take the vacant spot in the group.

Turnkey packages: Kayak-camping and Iloft

Modification

  • 7 days or more before departure: No modification fees.
  • Between 7 days and 24 hours before departure: $20 fee per modification.
  • Less than 24 hours before departure: $30 fee per modification.
  • During the stay: No modifications allowed.

Cancellation

  • 7 days or more before departure: No cancellation fees.
  • Between 7 days and 72 hours before departure: 25% of the total amount retained.
  • Less than 72 hours before departure: 50% of the total amount retained.
  • During the stay: In case of an accident, specific weather conditions, or other justifiable reasons, refund for unused services.
  • In case of cancellation by Équinox Aventure due to weather conditions, the activity will be rescheduled for a later date, or we will refund the entire package.
  • No-show: No refund.

Summer Equipment Rental (bikes, nautical equipment)

Payment Policy:

Full online payment is required to confirm the reservation.

Modification

  • Modification is possible subject to availability and conditions, with the tariff adjusted accordingly (for example: extending the duration or changing the date); please notify us as soon as possible.

Cancellation

  • 72 hours or more before the rental: 100% of the amount refunded, except for administrative fees of $20.
  • Between 72 hours and 24 hours before the rental: 100% of the amount refunded, except for administrative fees of $40.
  • Less than 24 hours before the rental: 20% of the total amount retained.

Luggage Transportation

Our luggage transportation service operates on the Véloroute des Bleuets and in the Kénogami Horst. Please drop off your luggage at our agency in Alma.

Reservations are made via the online form. No deposit is required when booking.

Payment Policy:

Full payment is made at the agency on the day of departure.

Modification

  • During the stay: $30 fee per modification.

Cancellation

  • Before departure: No fees retained.
  • During the stay: $20 administrative fee per luggage, then reimbursement of the difference.

Passenger Transportation

Reservation must be made in advance through one of our advisors (either by email or by phone). Personal transport is primarily intended for Équinox customers.

Payment Policy:

Full payment is required to confirm the reservation.

Cancellation

  • Between 7 days and 48 hours before departure: 20% of the total amount retained.
  • Between 48 hours and 24 hours before departure: 50% of the total amount retained.
  • Less than 24 hours before departure: 90% of the total amount retained.

Practical Information and Responsibilities

Insurance

We strongly recommend participants to take out travel insurance to cover the risks associated with travel. Équinox Aventure will not be held responsible for elements covered by travel insurance, such as medical and hospitalization expenses, medical repatriation, loss of luggage, civil liability, trip cancellation, etc.

Compensation Fund for Customers of Travel Agent (CFCTA)

We are regulated by the Office de la protection du consommateur. Consequently, our clients have access to the Compensation Fund for Customers of Travel Agent (CFCTA). For 2024, the contribution fee displayed on your invoice is 0.10%; however, this fee is symbolic and not collected, as the total amount has reached the cap of 125 million dollars. CFCTA ensures financial protection for clients in the event of a travel agency's failure.

Stated Prices

All prices mentioned are in Canadian dollars before the application of taxes (GST 5% and QST 9.975% of the displayed price).

Responsibilities

  1. Équinox Aventure acts as a service operator for equipment rental and the transportation of people or luggage. We do not own the cycling and snowmobiling networks in the region or the accommodations. Regarding the condition of the cycling and snowmobiling trails and the signage on them, the role of Équinox Aventure is limited to route planning. We do not guarantee the services received in accommodations during your stay. Therefore, Équinox Aventure declines any responsibility for the non-performance, by service providers, of certain described obligations, except for faults or non-performance directly resulting from the acts or omissions of the immediate employees of Équinox Aventure or a fault with the rented equipment from our company.
  2. If you encounter a problem during your stay, contact us, and we will do our best to resolve matters within our responsibility and provide assistance.
  3. Équinox Aventure will not be held responsible towards the client for any claims, damages, and/or expenses resulting from bodily injuries, accidents, death, damages, or losses of personal belongings, adverse weather conditions, strikes, or any other unforeseeable cause during the stay or resulting from an action for which the client understood the risks and still acted knowingly. A waiver describing the risks that travelers may encounter in the region is systematically provided and signed by the client before departure on a trip.
  4. Any client with a complaint can contact us so that we can best rectify the situation if it falls within our responsibility. If no solution is applicable and you believe the fault is with our service, please send your complaint by mail to the Équinox Aventure address within fifteen business days of your return from the trip.
  5. Équinox Aventure is not responsible for weather conditions, store opening hours, changes in the schedules of these stores, or any other element over which our team does not have direct control during the client's stay. We strive to update and inform as comprehensively as possible within our capabilities.
